How everything works.

Your guide to buying through Hickel Auction Service—from finding a machine to the support after delivery.

Getting started

What is Hickel Auction Service?

We operate a marketplace for used farming equipment, machinery and work vehicles. We have been in business since 1987 and are based at 620 Summit Ave E, Noonan, ND 58765. Our own specialist mechanics inspect and test equipment, and we administer the stated purchase protection.

Meet our inspectors →
Who is selling the equipment?

Hickel Auction Service is the authorized selling agent for consigned equipment. The consignor remains the equipment owner. We arrange the sale for an agreed percentage commission and administer the stated inspection, included guarantee, qualifying refund and return-transport commitments.

Understand the payment process →
How do I find the right machine?

Use the Equipment menu or homepage category cards, then search and sort the lots. Each category page shows only its matching equipment. Compare the model year, hours or mileage, specifications, included attachments, photos, videos and inspection report. Ask our team to clarify compatibility with your intended work.

Browse all equipment →
How does the buying process work?

Submit an offer or a Buy It Now request. Hickel Auction Service confirms acceptance under its consignment authority. The buyer then confirms billing and delivery details, reviews and signs the Equipment Purchase Agreement, and receives the invoice. Verify the exact beneficiary and payment reference with our office before wiring payment. Once payment clears, we arrange delivery and provide shipment tracking. Buyer inspection and acceptance precede distribution under the written account arrangement.

Open My account →
What is the stock number used for?

The stock number identifies a particular machine across its listing, inspection PDF, Equipment Purchase Agreement and invoice. Quote it whenever you contact us. Your invoice number or stock number must also be included in the wire-transfer memo or payment-reference field.

Can I ask questions before making an offer?

Yes. Call our main office at +1 (406) 604-3993 or email contact@oldtimers.help. Include the stock number and the specifications, condition details or intended use you want to discuss. Do not assume that an attachment or feature is included unless the listing and agreement identify it.

Contact our office →

Accounts & buyer approval

Does registering or making an offer charge me or require a card or deposit?

Creating an account and making an offer are free. No credit or debit card, deposit or card hold is required to register or make an offer. Making an offer does not charge you. Offers remain subject to seller acceptance; any purchase is handled separately through the Equipment Purchase Agreement and invoice.

Do I need an account to browse?

Browse equipment and inspection reports without an account. To make a non-binding offer, sign in with a verified email; no video or phone verification is required. Marketplace buyer approval is required before seller acceptance or Buy It Now. Purchase documents are private in My account.

My account →
How do I register and apply for approval?

Create an account and verify your email to make offers. When ready to purchase, open the buyer-verification page, provide your details and complete the consent and video steps. Our team reviews that application before seller acceptance or Buy It Now. This is separate from offer access; no phone verification has been added.

Apply for buyer approval →
How does the selfie review work?

The approval page requests an eight-second video with sound. Keep your face visible and follow the fresh, personal instruction shown on screen. Our team reviews the recording manually. This is a buyer-screening step, not automated face recognition or a guarantee of legal identity.

Open the verification page →
How long does buyer approval take?

Approval requires manual review. No fixed turnaround time is promised. Check the status on the approval page, and contact our team if you need help with a pending application.

What if my camera does not work or I cannot follow the instruction?

Open the verification page directly in a browser with camera and microphone permissions. If recording remains unavailable or you need assistance following the instruction, contact our team and leave your application pending. Do not create repeated accounts to work around review.

Get help with approval →
How is my selfie handled?

With your consent, the recording is stored for private marketplace-operator review and deleted after review or withdrawal. No automated face recognition is used. Do not submit identity documents or bank details as part of the selfie application.

Offers & Buy It Now

Is this a timed auction?

The offer process is open-ended: there is no countdown, anti-sniping extension or automatic winner. Offers are subject to seller acceptance. A listing can be paused, reserved or closed, so review its current status before submitting.

What is the minimum offer increase?

The first actual offer must meet the lot’s published starting minimum. Each subsequent offer must be at least $1,000 higher than the current highest active actual offer. For example, if the highest active offer is $19,000, the next minimum is $20,000. Refresh the lot if the displayed minimum has changed.

Does the highest offer automatically win?

No. The highest offer does not automatically complete a sale. Hickel Auction Service must confirm acceptance under its consignment authority. The purchase then proceeds through buyer detail confirmation, the Equipment Purchase Agreement and invoice.

Can I offer more than the minimum increase?

Yes. The $1,000 increase is a minimum, not a limit on how much higher you may offer. Review your amount carefully before submitting, and check the account or lot status to confirm it was recorded.

Can I withdraw an offer?

You can withdraw your own active actual offer while the listing remains open, using the withdrawal control when available. An accepted offer, a closed or paused listing, or an already withdrawn offer cannot be withdrawn through that control. Contact our team about a purchase that has already progressed.

How does Buy It Now work?

When Buy It Now is enabled for a lot, you can request the displayed fixed-price purchase instead of increasing an offer. Review your optional coverage selection and delivery estimate first. The purchase then moves into your account for buyer details, seller terms and agreement signing; clicking Buy It Now does not itself send a wire or charge a card.

Why is an offer or Buy It Now button unavailable?

The lot may not yet be enabled, may need an agreed price, or may already be reserved, paused or closed. Your account may also still require approval. Follow the status shown for that lot or contact our office; a displayed catalogue price does not override checkout availability.

Agreements & invoices

What happens after my offer is accepted?

The accepted price is recorded and a purchase workspace is created in your account. Complete or confirm your buyer and delivery details and any optional coverage choice. Our team prepares the machine-specific terms and assigns and verifies the payment account for that purchase before the agreement is sent for signing.

View purchases →
Who signs the Equipment Purchase Agreement?

The buyer signs the Equipment Purchase Agreement online. Hickel Auction Service signs as the consignor's authorized selling agent under documented consignment authority. The consignor / owner and account holder are identified separately.

What should I check before signing?

Check the seller and buyer identities, stock and serial numbers, model year, meter reading, condition description and included attachments. Review the equipment price, optional warranty fee, delivery, taxes or other agreed charges, payment deadline, loading duties, inspection window, return terms and account-handling instructions. Ask for corrections before signing.

When will my invoice be available?

After you sign the completed agreement, the invoice is issued automatically in your buyer account with the transaction’s assigned account details. It should show the buyer and seller, machine and stock number, separate charges and payment reference. Contact our Financial Department if the invoice or required information is missing.

Open My account →
Where do I download the signed agreement and invoice?

Open the purchase in My account and use its document view or download controls. Keep your own copies of the signed agreement, issued invoice and payment confirmation. An invoice describes the amount due; it is not by itself proof that payment was received.

My purchases & documents →
Are equipment, warranty and delivery shown separately?

Yes. The purchase breakdown separates the equipment price, optional $1,500 warranty fee when selected, and delivery. Review the total and any taxes or additional agreed charges in the final documents. A mileage calculation on a lot page is an estimate until the delivery details are confirmed.

Payments & Client Trust Accounts

How do I pay for a purchase?

Follow the issued transaction invoice and signed agreement. The stated payment process uses a bank wire to the verified Dedicated Client Trust Account assigned to your purchase. Verify the instructions verbally with our Financial Department before initiating the wire; do not pay using a example document or unsolicited email instructions.

Read the payment process →
Who holds the Dedicated Client Trust Account?

The purchase-specific Equipment Purchase Agreement and invoice identify the California Dedicated Client Trust Account holder, its authority to receive and hold funds, exact payment beneficiary, release conditions and dispute process. The beneficiary may differ from the consignor and Hickel Auction Service Use only the verified instructions for your purchase. The account name alone does not certify independent escrow licensing, legal trust status or deposit insurance.

How do I verify wire instructions?

Before initiating the wire at your bank, call our main office and Financial Department at +1 (406) 604-3993. Verbally verify the bank, beneficiary and account title, routing number, account number, amount and invoice or stock reference. Use a number you already know or have independently confirmed. Never trust unverified email changes to banking details.

Call to verify wire details →
What must I enter in the wire memo?

Enter your INVOICE NUMBER or STOCK NUMBER in the bank’s memo, reference or beneficiary-message field. Do not leave it blank. The accounts can receive transfers for multiple equipment purchases, so this reference is needed to match your money correctly. If your bank cannot include it, call our Financial Department before sending the wire.

When is payment due?

The exact due date, time zone and accepted payment instructions must appear in your purchase-specific agreement and invoice. There is no universal deadline stated for every lot. If a deadline is missing or you anticipate a delay, speak with our Financial Department before sending payment.

When can funds be settled to the seller?

Payment is held in a Dedicated Client Trust Account in California under the written account arrangement. After delivery, the buyer inspects and expressly accepts the equipment. The account holder then distributes the consignor's proceeds and Hickel Auction Service's agreed percentage commission according to the consignment agreement. Reported disputes follow the signed dispute process. Buyer silence does not itself authorize release.

What if I report a problem during the inspection period?

Notify our team and use the account-notice and dispute channels specified in your agreement before the deadline. Submit the return report when applicable. A website return report records your issue but does not itself create a banking hold; follow the written instructions for disputed funds too.

Submit a return report →

Delivery & equipment inspection

How much does delivery cost?

The stated rates are $1 per mile for small equipment and tractors, and $1.50 per mile for heavy machinery and equipment. The lot’s delivery class is used in its estimate. Confirm the route, equipment class, distance and final charge before signing.

How does the delivery calculator work?

Enter the delivery distance in miles on the lot page to see mileage multiplied by its delivery rate. The estimate is shown separately from the equipment and optional warranty. It does not reserve transport, confirm an arrival date or settle route-specific requirements.

When will my equipment be delivered?

Delivery timing is arranged for the individual purchase. Confirm payment requirements, transport availability, the delivery address, site access and the agreed schedule with our team. No standard transit time is promised for every machine or destination.

Who handles loading, unloading, rigging and permits?

The purchase-specific written terms must identify who arranges and pays for preparation, dismantling, lifting, loading, unloading, permits and site access, together with any storage or collection charges. Confirm these responsibilities before accepting the final terms; do not assume every task is included in the mileage rate.

Who inspects the machines?

Our in-house team has ten specialist mechanics and inspectors covering engines, hydraulics, drivetrain, structure, bodywork, electronics, controls, brakes, implements, safety and emissions. The individual report identifies the assigned inspectors and recorded scope for that machine.

Meet our inspection team →
What does PASS mean on an inspection report?

PASS is the recorded result for the listed inspection scope. The current manifests do not use a star rating or overall numerical condition score. Read the results with the machine’s hours, photos, videos, specifications and disclosed condition. A PASS is not a promise that the machine is new or cannot develop a future fault.

Inspection policy FAQ →
Where can I view and download inspection PDFs?

Open the lot and choose View inspection report. The report can be viewed or downloaded from the machine’s page. Match its stock number to the listing. Ask our team about any missing inspection date, serial number, measurements or test details instead of assuming an unreported item passed.

Browse equipment reports →
How long do I have to inspect after delivery?

The agreed account process provides three business days after confirmed delivery. Check the precise start time, deadline and reporting channels in your agreement. The separate 30-day money-back guarantee for faults or equipment not as described also has a limit of 100 additional operating hours.

Returns & the included guarantee

What protection is included without buying the optional warranty?

The included protection is a 30-day money-back guarantee for equipment that is faulty or not as described, limited to 100 additional operating hours after delivery. It is not an unrestricted change-of-mind return policy. Hickel Auction Service handles qualifying refunds and return transport.

Read the guarantee →
How do I request a return?

Use the return-report form and identify your purchase, stock or serial number, delivery date, additional operating hours and the fault or difference from the description. Keep supporting photos and records. If the three-business-day inspection period is still open, also follow the account-notice process in your agreement.

Start a return report →
Who pays return transport, and is original delivery refunded?

For a qualifying fault or not-as-described return, Hickel Auction Service pays return transport and refunds the original delivery charge as part of the full refund. If you bought the optional $1,500 coverage, that fee is refunded too on a qualifying return.

When is an eligible refund due?

Under the stated return commitment, an eligible refund is due within three business days after submission of the return report. Submitting the form records the claim; it does not automatically approve eligibility or move money. Our team verifies the purchase and coordinates the return and refund.

What happens if I use the equipment for more than 100 additional hours?

More than 100 additional operating hours after delivery ends eligibility under the 30-day return guarantee and constitutes acceptance under that return rule. It does not independently release account funds. Any optional paid coverage remains subject to its own duration, components and exclusions, only if purchased.

Can I return a machine simply because I changed my mind?

The stated guarantee covers faults or equipment not as described, within its time and usage limits. A change-of-mind return is not included in that promise. Review the signed sale terms and discuss any other request with our team.

Optional warranty & claims

Is the $1,500 warranty optional?

Yes. You must affirmatively select the optional paid plan for it to be included in the Equipment Purchase Agreement and invoice. Leaving it unselected means there is no $1,500 plan fee and no purchased-plan coverage. The separate included 30-day / 100-additional-hour guarantee still applies.

How long does optional coverage last?

The time limit is one year from the sale date. For machinery, the usage limit is 1,000 additional operating hours from the recorded sale reading; for trucks, it is 10,000 additional miles. Coverage ends when either the time or applicable usage limit is reached first. Confirm eligible asset class and components in the written schedule.

Read coverage and exclusions →
What components are covered, and is there a deductible?

The paid plan has a $0 deductible per approved claim. Coverage depends on the eligible asset class, listed components, exclusions and signed schedule; it is not a promise to pay for every part, consumable, wear item or loss. Review the full written terms before selecting the plan.

Full optional coverage terms →
How do I start a warranty claim?

Send initial written notice to contact@oldtimers.help within 72 hours of discovering the failure. Do not wait for every attachment before sending that notice. The complete diagnostic and evidence package may follow afterward; review opens when the full package is supplied together. Keep proof of sending.

Warranty claim checklist →
What documents are required for a warranty claim?

Provide proof the $1,500 fee was paid, a signed independent certified-technician diagnostic report with root cause and fault codes where applicable, current hours or mileage, photos of the failure and whole machine, serial plate and meter, and an itemized repair estimate separating parts and labor. Confirm machine location and access for an independent inspector within four business days of a request.

Open the complete checklist →
Can repairs or teardown start before approval?

Do not begin repairs or disassembly before receiving written authorization and a Claim Authorization Number. A diagnostic report, estimate, email receipt or checklist download is not repair authorization. Unauthorized work can invalidate the affected claim under the plan terms.

Is the warranty fee refunded on an eligible return?

Yes. If you purchased the optional $1,500 plan and make a qualifying return under the included guarantee, the purchased coverage fee is also refunded. Other cancellation requests are governed by the signed terms.

Help, updates & privacy

Where can I check the status of my purchase?

Use My account to view accepted offers, agreement readiness, signature status and issued invoices. When email notifications are enabled, updates can also be sent for offer acceptance, an agreement ready to sign and invoice availability. Always check your account rather than relying on an email alone.

My account →
What if an offer or purchase action shows an error?

Refresh and check the latest lot status, actual offer minimum and your account before retrying. Another buyer may have changed the minimum or reserved the machine. If you cannot confirm whether the action succeeded, contact our team with the stock number and error message before submitting again.

Who can see my application and purchase information?

Applications and selfie recordings are reviewed privately by the marketplace operator. Purchase workspaces and documents are private to the buyer and operator. Buyer contact details are not public offer activity. Do not put bank details, identity documents or unrelated sensitive information into a return report or general inquiry.
